Description:

Reporting to the East Harlem Principal and with a dotted line to the Director of Operations, the Pre-K Dean will be responsible for collaborating with the principal, school culture staff, special education staff, Director of Operations, and relevant specialists to provide teachers with high quality 

Responsibilities:

 

  •  

    • Instructional Management:
    • Serve as primary instructional coach for teachers and teaching assistants;
    • Lead intellectual preparation meetings and collaborate with school leadership to lead high-quality professional development and curriculum implementation guidance to meet the needs of all students;
    • Regularly review lesson plans, observe teachers and provide teachers with timely, highest leverage, actionable feedback;
    • Lead coaching and support on classroom and school culture;
    • Contribute to the development of a rigorous curriculum, including a vertical scope and sequence aligned to national standards, through creation of assessments, unit plans, and lesson plans, as needed;
    • Work closely with classroom teachers and school leadership to plan instruction, analyze student work, and ensure continuity between classroom and intervention work for students with special needs;
    • Lead in the utilization of student performance data to customize and improve instruction;
    • Lead administration of assessments including printing, ensuring testing procedures are followed, and monitoring teacher scoring and data entry
    • Establish performance goals for instructional staff and manage teacher performance evaluations;
    • Responsible for developing a plan of action for the year, including but not limited to long-term goal setting, identification of major growth areas and steps for improvement, establishing methods for effective communication, long-term plan for supporting and developing teachers;
    • Conduct formal observations in classrooms using both CLASS and ECERS tools to assess classroom quality and provide coaching and support to instructional staff;
    • Liaise with external consultants, as needed;
    • Work with Network Director of Special Education to support families in the initial evaluation process, ensure students with IEPs are receiving the appropriate services, and run the response to intervention.
    • Office Management:
    • Serve as a point of contact for the school, including managing the office, greeting families and other visitors, and answering phone calls and emails;
    • Manage the cleanliness and organization of the operations office;
    • Manage all operations functions, including day-to-day processes, special events and family interactions;
    • Demonstrate responsive interactions with families, guests, and DREAM stakeholders at all times.
    • Inventory Management:
    • Create and manage inventory systems that ensures school purchases and stocks required curricular materials (e.g., textbooks, science kits, etc.) and other operational school-wide purchases; 
    • Responsible for training staff on the ordering system;
    • Manage inventory to ensure that supplies at the schools are inventoried on a regular basis; 
    • Oversee the Pre-K environment and all supply spaces utilized by both staff and scholars, including liaising with custodial staff when needed and maintaining office supply closets.
    • Facilities Management:
    • Support with ensuring facilities issues are raised and addressed in a timely fashion;
    • Participates in regularly scheduled walkthroughs with the Custodial Engineer and facilities team to ensure facilities and operational systems are in good working order;
    • Develop and manage systems to uphold aesthetics standards with staff.
    • Systems & Processes:
    • Support the development, implementation, and management of school-wide systems and procedures that ensure operational excellence within the school. Systems include but are not limited to Transportation, Safety, School Lunch Program, procurement, and compliance tracking; 
    • Ensure responsibility for use of and documentation of RAMP card following protocol set up by finance;
    • Identify areas for improvement and helps to continually improve school operations systems and procedures and lead or support with special projects in this area;
    • Create, manage, and submit yearly budgets with the support of the Director of Compliance and Managing Director of Finance.
    • Administration:
    • Manage scholar information data systems and ensures all platforms are up-to-date and accurate (Powerschool, ATS, SchoolMint);
    • Conduct data entry and analyze and report on operations data, including data required for school, board and regulatory reporting; 
    • Manage the maintenance and execution of centralized systems, such as distributing student uniforms and any other materials along with coordinating school food services for staff and scholars;
    • Support with planning and implementation of team-wide events, from professional development to team-building to org-wide occasions;
    • Help to manage relationships on the CPE2 campus, including other schools/programs' administration and the custodial staff;
    • Maintain accurate student and program records for the Pre-K in order to monitor, and stay in, compliance with relevant DOH and DOE requirements and policies;
    • Provide all administrative support (ordering food, arranging transportation, making copies, etc.) as needed;
    • Ensure report card completion at MH and EHPK;
    • Liaise with external consultants, as needed;
    • Lead the preparation and facilitates annual SUNY visits;
    • Supports DOOs in preparation for NYS DOH visits;
    • Track PK staff attendance and PTO;
    • Support in the training and onboarding of new PK staff;
    • Support in communication and overseeing of part-time AHW staff who support recess;
    • Ensure timesheets are submitted for part-time PK staff;
    • Family Engagement:
    • Oversee scheduling, implement, and track completion of Family Visits for all DREAM scholars;
    • Collect information about recreational and educational opportunities for DREAM families and students and publicize them to families;
    • Design, implement, and evaluate Family Engagement activities and events (Welcome Party, Orientation, Family Cafes and Family Friday, Stepping Up);
    • Oversee family conference logistics for EHPK.

Qualifications:

  • Bachelor’s degree, required;
  • Bilingual Spanish/English, preferred;
  • Experience in a youth development or academic environment preferred, including direct service work with youth as staff or in a volunteer capacity;
  • Excellent written and interpersonal communication skills to serve as a DREAM ambassador internally and externally;
  • Knowledge of and experience with school facilities and relevant technologies (e.g. Google Suite, PowerSchool, DeansList), a plus;

Minimum Education Level: Bachelor's Degree
Preferred Education Level: Master's Degree
