General Duties and Responsibilities: All responsibilities and duties are under the direct supervision of the Center Director. As the Enrollment Coordinator their duties are to maintain the office and front foyer.  Participate in the center business operations; support the center and classroom staff in all aspects; and serve as a communication liaison between the parents and the Director.

Responsibilities:

General Duties:

  • Supports Director in all administrative functions of the center
  • Opens and/or Closes the Center
  • Typing, analyzing and data input
  • Participates in training and staff development
  • Assisting in filing staff paperwork
  • Understands and follows DOH guidelines for policies and procedures
  • Adheres to Article 47 rules and regulations
  • Organizing and filing center paperwork
  • Assists with marketing endeavors
  • Creates flyers and advertisements for center events and enrollment opening
  • Participating in college functions to promote the center
  • Answering the phone/giving information/ taking messages for the director and teachers
  • Communication liaison for staff in classrooms
  • Greeting parents, children and visitors; overseeing entrance of the Center
  • Creates data collection surveys for the center
  • Maintains the technology for center training (ex. Laptop & Projector)
  • Assists in creating power point presentations for staff training
  • Co-leader for children center event committee
  • Maintains emergency contacts for parents
  • Participates in data collection surveys
  • Facilitates Work Orders
  • Receiving and maintaining applications and waiting lists
  • Tracking and creating check requests for center orders
  • Typing and tracking check requests for SAA office
  • Monitoring children’s personnel files
  • Overseeing children’s medical files
  • Completes intakes, Registration and Enrollment
  • Maintains center enrollment waitlist
  • Creates enrollment packages for parents
  • Creates enrollment roster for classrooms based off of parents schedules submitted
  • Creates monthly attendance Rosters
  • Creates weekly sign in sheets
  • Creates CACFP monthly meal counts
  • Provides emergency coverage for classrooms when a teacher is absent
  • Covers staff lunch breaks when necessary
  • Organizing and updating school records
  • Supervising food program; liaison to CACFP
  • CACFP monitoring checklist and Training
  • CACFP – policies and procedures
  • Creates and calculates CACFP monthly claims
  • Updating meal counts and allergy list for both Faculty/Staff and Students
  • Overseeing shopping for supplies and supplementary foods
  • Overseeing inventory and ordering of office and paper good supplies
  • Assisting in meal distribution to classrooms during Meal Times
  • Assisting in classrooms and supervising children in special cases and emergencies
  • Conducting fire drills
  • Working with the director to facilitate all administrative needs of the Center
  • Maintains the fees for paid student and Faculty/Staff parents
  • Maintains the fees for Faculty/Staff meals
  • Distributes and tracks the payments of parent’s child care fees
  • Maintains the late arrival log
  • Calculates and inputs timesheets (Director still reviews and signs off before submission)
  • Tracks part-time sick/personal leave hours
  • Updates policies and procedures as directed
  • Assists in overall cleanliness for the center
  • Assists in conducting research to better the center programs
  • Assists as liaison for outreach for center
  • Assists in communication with parents
  • Assists in creating proposals for new events with other departments
  • Maintains files of children’s educational files
  • All other duties as assigned

Qualifications:

Qualifications:

BS Degree

Microsoft Office Suite

Knowledge and or experience in an Early Childhood preferred
